Store and share collaborative research documents with UCSF Box

UCSF Box is a cloud-based file collaboration and storage tool similar to Dropbox, OneDrive and Google, however only UCSF Box and OneDrive are managed and supported by UCSF IT. Use UCSF Box to securely store (P1-P4 data) and share (P1-P3 data) collaborative research documents. 

Services

UCSF Box can be used to share files and collaborate with fellow UCSF staff and external collaborators. UCSF Box is integrated with MyAccess and offers features such as folder creation and version history. Collaboration happens at the folder level and is managed through permission levels, adding, editing, or removing a collaborator, folder settings, and more.

Every Box account contains a secure folder. All files in the Secure Box folder are encrypted, and a CipherCloud agent is required to open these files. Restricted data, including PHI, must be stored in Secure Box and can only be accessed by UCSF collaborators. Secure Box folders cannot be shared with external collaborators. To share restricted data with external collaborators, please use the Research Analysis Environment (RAE).

Directions

  1. Go to the UCSF Box website.
  2. Log in with your UCSF account. 
  3. Determine the classification of the data you want to add to UCSF Box.
  4. Begin creating folders and setting permissions based on your needs. Instructions on using Box can be found here.
  5. For restricted data, store in the secure box folder. Directions for this can be found here
    1. CipherCloud is offered and managed on all computers supported by UCSF IT Field Services. For computers that are not supported by ITFS, visit the UCSF Software website to download and install CipherCloud for your operating system.
  6. If sharing data with external collaborator, follow these directions.
